But before that, a look into the perfect world of theory &#8211; how you should do it.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"The_theory_of_Microsoft\"><\/span>The theory of Microsoft<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>Before the team is created, it should be clarified whether the team is needed at all. Microsoft formulates best practices in the article &#8220;<a href=\"https:\/\/docs.microsoft.com\/en-us\/microsoftteams\/best-practices-organizing\" target=\"_blank\" rel=\"noopener\">Best Practices<\/a>&#8221; this way: &#8220;<em>Before creating a team, think about the goal, project, or work items and who in your organization can help deliver it collaboratively.<\/em>&#8221; (as of 11\/27\/20)<\/p>\n<p>Only if agreed in organizational terms and deemed useful, a new team with a purpose and a group of people will be created.<\/p>\n<p>In summary, the following procedure is recommended for creating new teams:<\/p>\n<ul>\n<li>check whether a team is necessary and useful<\/li>\n<li>assign multiple owners so that it does not become orphaned when employees change or leave<\/li>\n<li>best to watch a 21 minute video beforehand where everything is explained<\/li>\n<\/ul>\n<p>Microsoft describes other scenarios for special teams and also recommends familiarizing yourself in advance with the elements of channels, teams, chats and how they are differentiated.<\/p>\n<h3><span class=\"ez-toc-section\" id=\"How_teams_are_created_in_practice_in_organizations\"><\/span>How teams are created in practice in organizations<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p>When Microsoft Teams is introduced in an organization, one often encounters two approaches:<\/p>\n<ol>\n<li>a &#8220;we want to seize the opportunity&#8221; approach<\/li>\n<li>an &#8220;avoid risks, maintain control&#8221; approach<\/li>\n<\/ol>\n<h4><span class=\"ez-toc-section\" id=\"%E2%80%9CWe_want_to_take_advantage_of_the_Microsoft_Teams_opportunity%E2%80%9D-strategy\"><\/span>&#8220;We want to take advantage of the Microsoft Teams opportunity&#8221;-strategy<span class=\"ez-toc-section-end\"><\/span><\/h4>\n<p><img decoding=\"async\" class=\"aligncenter wp-image-20273\" title=\"Full potential strategy: all users can create new teams\" src=\"https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/Create-new-teams-all-users-full-potential-strategy-3-300x295.png\" alt=\"\" width=\"350\" height=\"344\" srcset=\"https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/Create-new-teams-all-users-full-potential-strategy-3-300x295.png 300w, https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/Create-new-teams-all-users-full-potential-strategy-3-1024x1008.png 1024w, https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/Create-new-teams-all-users-full-potential-strategy-3-768x756.png 768w, https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/Create-new-teams-all-users-full-potential-strategy-3.png 1204w\" sizes=\"(max-width: 350px) 100vw, 350px\" \/><\/p>\n<p>In the first case, IT and management want to quickly exploit the potential of Microsoft Teams. This is mostly for rational reasons, such as home office in Corona times, but no alternative technology is yet available. This approach is more often found in pragmatically managed companies that want to move quickly.<\/p>\n<p><b>The advantage<\/b> is obvious: Everyone can get started immediately.<\/p>\n<p><b>The disadvantages<\/b> only reveal themselves over time: if everyone can create a team, they will. At least to have tried it once, because the application is new for the organization, the departments and each individual user. Recapturing this becomes more difficult the larger and more active the organization. Especially companies with sensitive data or that have had bad experiences with spontaneous rollouts tend to go this way. An introduction is delayed in order to avoid security problems.<\/p>\n<p><b>The advantage:<\/b> The company has control and a steady and orderly usage.<\/p>\n<p><b>The disadvantages:<\/b> MS Teams was made for users. If they get limited functionality, all other tasks have to be done by experts. This means that to simply &#8220;create a team&#8221; users have to contact their IT admin or helpdesk. At the same time, there are multiple tasks involved: a support ticket or call, waiting time, involvement of a second person to do the task, closing the ticket, etc.<\/p>\n<h2><span class=\"ez-toc-section\" id=\"Who_creates_teams_in_Microsoft_Teams_or_should_do_it\"><\/span>Who creates teams in Microsoft Teams, or should do it?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n<p>Based on the considerations above, it should be added what is technically possible.<\/p>\n<p>There are two authorizations:<\/p>\n<ul>\n<li>is allowed to create new teams<\/li>\n<li>is not allowed to create new teams<\/li>\n<\/ul>\n<p>With Microsoft&#8217;s standard tools, this is where it ends. What is possible, however, is to allow certain user groups (e.g. helpdesk or power users) to create teams.<\/p>\n<p>Here are three examples that illustrate the advantages and disadvantages when creating new teams:<\/p>\n<h3><span class=\"ez-toc-section\" id=\"All_users_are_allowed_to_create_new_teams\"><\/span>All users are allowed to create new teams<span class=\"ez-toc-section-end\"><\/span><\/h3>\n<p><img decoding=\"async\" class=\"aligncenter wp-image-20278\" title=\"User creates new teams in Microsoft Teams\" src=\"https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/User-creates-new-team_Microsoft-Teams-300x298.png\" alt=\"\" width=\"300\" height=\"298\" srcset=\"https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/User-creates-new-team_Microsoft-Teams-300x298.png 300w, https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/User-creates-new-team_Microsoft-Teams-1024x1017.png 1024w, https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/User-creates-new-team_Microsoft-Teams-150x150.png 150w, https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/User-creates-new-team_Microsoft-Teams-768x763.png 768w, https:\/\/my-iam.com\/wp-content\/uploads\/2021\/05\/User-creates-new-team_Microsoft-Teams.png 1032w\" sizes=\"(max-width: 300px) 100vw, 300px\" \/><\/p>\n<p>From our point of view, users are the right target audience, especially for the creation of teams. <a href=\"https:\/\/docs.microsoft.com\/en-us\/microsoftteams\/get-started-with-teams-create-your-first-teams-and-channels\" target=\"_blank\" rel=\"noopener\">Microsoft<\/a> themselves write: <i>&#8220;<\/i><i>We suggest you start with a &#8220;Get to know Teams&#8221; team where your early adopters can play around, ask questions, and discover the capabilities of Teams.&#8221; <\/i>(as of 11\/27\/20)<\/p>\n<p>The advantages at a glance:<\/p>\n<ul>\n<li>IT personnel are not required<\/li>\n<li>users are empowered<\/li>\n<li>approach fits with Microsoft&#8217;s Teams philosophy<\/li>\n<li>no effort and costs are incurred elsewhere<\/li>\n<li>no waiting times for &#8220;team admins&#8221;<\/li>\n<\/ul>\n<p>What is the argument against it?<\/p>\n<ul>\n<li>uncontrolled creation of teams<\/li>\n<li>no uniform naming<\/li>\n<li>no different team types possible (e.g. permissions for external members)<\/li>\n<\/ul>\n<p>We wondered if the disadvantages can be compensated for, so that your users create controlled teams. You can use <a href=\"https:\/\/my-iam.com\/en\/teamspace\/\" target=\"_blank\" rel=\"noopener\">my-IAM TeamSpace<\/a> to <strong>configure security features<\/strong> or <strong>restrict only certain user groups<\/strong> from creating &#8220;open&#8221; teams. This undoubtedly achieves a high degree of security and control, and IT retains an overview as far as possible. However, this approach involves risks and takes away opportunities, which should not be underestimated. After all, Microsoft Teams lives and grows from the participation and interaction of employees. If you put a stop to this movement, the use of the application will also suffer.<\/p>\n<p>The advantages at a glance:<\/p>\n<ul>\n<li>better control over number of teams<\/li>\n<li>security, as data cannot be shared with just anyone<\/li>\n<li>IT can enforce naming conventions more effectively<\/li>\n<\/ul>\n<p>What is the argument against it?<\/p>\n<ul>\n<li>additional workload for IT<\/li>\n<li>costs increase because several people are involved<\/li>\n<li>users remain dependent on IT<\/li>\n<li>motivation to use teams decreases when waiting times occur<\/li>\n<li>teams are not used as intended<\/li>\n<\/ul>\n<p>Disadvantages can barely be reduced because the standard tools for team administration are limited. The granular administration of teams is time-consuming and delegation is hardly possible.<\/p>\n<p><a href=\"https:\/\/my-iam.com\/en\/teamspace\/\" target=\"_blank\" rel=\"noopener\">TeamSpace<\/a>, the my-IAM platform, offers a user- and company-friendly solution without impeding the employee&#8217;s workflow. These users are authorized to carry out the creation of the teams. They usually have a broad understanding of IT, but work outside the IT department.<\/p>\n<p>The advantages at a glance:<\/p>\n<ul>\n<li>certain independence from IT<\/li>\n<li>faster creation of new teams<\/li>\n<\/ul>\n<p>What is the argument against it?<\/p>\n<ul>\n<li>user dependency on a few power users<\/li>\n<li>permissions to create new teams are the same for all power users and teams types<\/li>\n<li>reliability of the power user depends on the person<\/li>\n<li>in the event of absence, the team tasks remain undone<\/li>\n<\/ul>\n<p>This option is a combination of administrators and users. That is how it also turns out with the advantages and disadvantages. There are now more contacts who can create teams. However, it is not possible to distinguish whether the team contains protected data or not. Naming conventions apply globally to all teams. Power users cannot create application-specific teams any more than normal employees.<\/p>\n<p>An alternative is offered here by <a href=\"https:\/\/my-iam.com\/en\/teamspace\/\" target=\"_blank\" rel=\"noopener\">my-IAM TeamSpace<\/a>. Companies have two options to choose from with Microsoft Teams: (1) enable all employees to create new teams, or (2) only have a controlling entity, such as the IT department, create teams. Microsoft is leaning towards the users.<\/p>\n<p>Both ways bring advantages and disadvantages.
